How do I reassign job tasks?

There are times when you need to re-assign job tasks from one user to another. For example:

  1. when a user has been inactivated
  2. when a user has too much on their tasklist
  3. when a user is going on vacation

 

Selectively Re-assigning Tasks

When staff members have too many tasks and are falling behind (or maybe you have a staff member going on vacation), its a good idea to selectively off-load some of their tasks to others on your team. You can use the Tasks screen to accomplish that. Use the filters to list the tasks of interest, selectively check the boxes for tasks that you want to reassign, and click the Reassign button.

 

Fully Re-assigning Tasks (and roles)

You typically will fully re-assign a user's tasks when you inactivate a user. SolarNexus automatically gives you the opportunity to re-assign their tasks to another user when inactivating them. However, that is not required when you inactivate them. Having inactive users assigned to key project tasks is very undesirable because you may miss getting these tasks completed.

When an inactive user still has task responsibilities, SolarNexus will send an Email to users with administrative permissions as a reminder that "Some inactive users in your SolarNexus account still have responsibilities on active projects." You can click on the link provided in the warning Email to open the inactive user's Profile page.

Administrators can also reassign tasks that are currently assigned to a user by taking the following steps:

  • Go to Administration > Users
  • IF the user has already been inactivated, check the box to show inactive users (see below).

  • To View the user's current responsibilities, click on the show profile icon for the desired user.

  • In the user's Profile page, locate the section in the lower left titled "Responsibilities" (as shown below). 

  • At the bottom of the Responsibilities section click the button titled "Transfer All Responsibilities". (Note: If there is a large number of items you may need to scroll down in the Responsibilities section to locate the button.)

  • To transfer responsibilities to another user, select each dropdown menu provided and select the new active you'd like to assign. 

 

NOTE: You can also go directly to the Transferring Responsibilities by clicking the Double Arrow icon:

  1. Find the row of the user whose responsibilities you want to reassign
  2. Click the double arrow icon to bring up the Transfer Responsibilities dialog
  3. Choose the new user(s) to whom you want to assign all of the first user's responsibilities and click Transfer.
